The venue shapes almost everything about a conference: the mood, the flow between sessions and the budget for production. Choosing well means looking past the brochure.

Look at the room, not just the capacity

A hall that seats 500 in theatre style may hold only 300 comfortably with tables. Ask for layouts that match your programme and check the ceiling height for screens and lighting.

Check the practical details

  • Breakout rooms close to the main hall.
  • Reliable Wi-Fi and enough power for the production team.
  • Loading access for equipment and stage builds.
  • Parking, transport links and accessibility for every delegate.

Ask about the rules

Some venues restrict outside caterers, rigging or sound levels. Learn these early, because they change both the design and the cost.

Visit the venue at the same time of day your event will run. Light, noise and traffic look very different at 9 am.
